Changes to the Terms and Conditions

What exactly is the difference between a contact person and an authorised signatory? And how long are you required to keep your employees' details? These are topics that are important to explain clearly. That is why we have rewritten theTerms and Conditions for our business credit cards. This makes it clear what you can expect from us, and what we expect from you as a customer. The new Terms and Conditions will apply as of 1 July 2026.

Why change the Terms and Conditions?

We have updated the Terms and Conditions to make them clearer, easier to navigate and more practical for business credit card users. The structure has also been improved, so it is more understandable which parts apply to the company and which apply to Cardholders.

When do the new Terms and Conditions take effect?

The new Terms and Conditions take effect on 1 July 2026. We always announce a change at least one month in advance.

 

What exactly is changing?

We have made an overview of the most important changes for you. Are you the company's contact person? Then it is important that you inform Cardholders about the changes. For Cardholders, Articles 9 to 30 are the most relevant.

  • More detailed definitions (Article 1)

    We have rewritten terms such as Company Limit, Spending Limit and Card Account. The definitions are now clearer and more detailed. This reduces the risk of misunderstanding.

  • Clearer roles within your company (Articles 4, 5 and 10)

    We describe more clearly the responsibilities of the Cardholder, the Contact Person and the Authorised Signatory. This makes it easier to see who within your organisation can apply for, change, block or cancel a Card. It helps you make clear internal agreements about who is allowed to arrange what.

  • Longer retention period for identification data (Article 7)

    If you apply for a credit card for an employee, you are required to establish and verify that person's identity. A retention period applies to the identification data.

    Under the old Terms and Conditions, you had to keep these details for five years after the end of the Card agreement. Under the new Terms and Conditions, this has been extended to seven years. This retention period aligns with the legal requirements for customer due diligence and access by supervisory authorities.

  • Digital and Virtual Cards (Article 9 and additional terms)

    In the new Terms and Conditions, we explain more clearly how the Digital Business Credit Card and Virtual Cards work. We also describe how transactions are approved in the ICS Business App and which additional rules apply.

  • More clarity on limits and transactions (Articles 13 and 14)

    The explanation of spending capacity, Card limits, company limits and authorisations has been updated. It describes more clearly how transactions are processed and when an authorisation affects your available spending capacity.

  • Disputes and unauthorised transactions (Articles 20 and 21)

    We make a clearer distinction between disputing a payment (for example, due to an incorrect amount) and an unauthorised transaction. You will also find the applicable time limits and the information required for assessment.

  • Stricter security rules (Article 28)

    The security rules have been expanded, covering the use of PINs, passwords, SMS codes and biometrics. It also states more clearly what you must do in the event of loss, misuse or theft of a Card.

  • Insurances and guarantees made clearer (Articles 29 and 30)

    The description of insurances and guarantees is more concise and logically structured. The key features of the purchase protection insurance, delivery guarantee and internet guarantee are summarised, so you can see which cover fits the credit cards within your company.

Do you disagree with the changes?

In that case, you may always terminate your company's agreement before the changes take effect. In this case, that is 1 July 2026. To do so, log in to My ICS Business. If you do nothing, your existing and new credit cards will remain active and the new Terms and Conditions will apply from that date.
